ANDCEED Gyoseishoshi Office supports foreign nationals living and working in Japan, and the companies that employ them, with their immigration procedures. We take every client's situation seriously and value your opinions and requests.
However, conduct that goes beyond what is socially acceptable — such as abusive language, threats, keeping staff for excessive periods, demands beyond the scope of our services, or requests to prepare false documents — harms our staff and our service to other clients. When such conduct occurs, our office will respond firmly as an organization. We may decline further communication, terminate the service agreement (委任契約), or consult the police or a lawyer where necessary.
Misunderstandings caused by differences in language or culture, questions that come from worry, and pointing out mistakes we have made are not customer harassment. We never treat anyone differently because of their nationality or language.
We will continue to deliver reliable service based on mutual respect between our clients and our staff.
Examples of customer harassment
- Violence such as hitting or throwing objects, or threats such as "I'll kill you" or "I'll do something to your family"
- Shouting, insulting or demeaning staff, or attacking staff because of their nationality, gender or age
- Repeating the same demand over and over and refusing to end the conversation for a long time
- Refusing to leave the office after being asked to do so
- Calling or sending messages many times in a short period outside business hours or on holidays
- Demanding a guaranteed result ("You must get the permit", "Refund everything if it is refused"), or threatening to post on social media or to sue
- Asking us to prepare false documents, such as a statement of reasons that does not match the facts, or an employment contract or certificate of employment for a job that does not exist
- Demanding that staff kneel, write letters of apology, or be disciplined
- Sexual remarks or conduct, or persistently asking for private contact details or invitations to meals
What is not customer harassment
- Checking the same point several times because you are not confident communicating in Japanese
- Speaking loudly or directly, when what you are asking about is your procedure
- Asking about the progress of your application at a reasonable frequency
- Asking questions about, or discussing, our fees
- Pointing out our mistakes or delays, or asking us to redo work
- Asking for accommodation, such as written communication or extra time, because of a disability or illness
How we respond
If customer harassment occurs, we will first ask you to stop. If a conversation becomes very long or keeps repeating the same demand, we may end it for the day, and our representative will contact you again. Messages sent outside business hours will be answered on the next business day.
If the conduct continues after our request, or if it may constitute a crime such as violence or threats, we may decline to continue and terminate the service agreement. Even then, we will promptly return any documents we hold, and if your period of stay is about to expire, we will tell you in writing and explain the steps you need to take before the deadline. If anyone's safety is at risk, we will call the police without hesitation.
We cannot prepare false documents under any circumstances, as this is prohibited by law.
Records and recordings
To confirm facts accurately, we keep records of our communications with clients (meetings, telephone calls, email and messaging apps) and may record calls or meetings where necessary. Records and recordings are used only to improve our service, prevent and verify disputes, and comply with the law, and are managed in accordance with our Privacy Policy (Japanese).
